I agree with Matt though in that it should be done by the end of the weekend...in all honesty it should have been decided by last weekend because i'm sure finding any sort of private/banquet room less then a week before an event is going to be hard. On that note though I do appreciate all the planning that everyone has done.

'k...guess you didn't catch part of my last post or maybe I wasn't clear. Here's the deal with BP. We're looking at the possibility that there may be 20 or more people at this function. First of all, that takes up an entire section of that restaurant. That's fine if we plan to eat and leave. Perhaps I'm putting words in others' mouths here but if I were driving 2, 3, possibly 4 hours to attend this function, a meal at BP isn't exactly what I qualify as a reason to drive that far. I'd like to spend a few hours chatting with people that perhaps I have not seen for a few months. You can't take up an entire section at BP and be there for a few hours and order nothing. It doesn't work that way, particularly if you're being a cheapass and not ordering anything...

One of the benefits of getting a small banquet room is there are really no time constraints unless you call a midnight or 2AM shutdown a time constraint. I don't. You can start earlier too.

Again I'll suggest you consider the needs/expectations of those who are coming in to town from other places. Those of us in Calgary can hop off to BP or wherever whenever we please. We can even call up a buddy or two and invite them along. Fine. We have that flexibility. I can't call Steph up at 6pm and invite him to join me for a beer at the local watering hole. It doesn't work that way. Conversely, if Steph (or anybody else) is putting the time, effort and money into driving into town specifically for this event, it better not just be a beer at the local watering hole. Y'unnerstand? Awesome! :)

We got lucky.
I have booked the "Fireside" room at the Edgemont Community association for Saturday January 12, 2008.
Normally the room rents for $450 but they have given it to us for $200 for the evening (so about $10 - $15 each) We can bring our own food (re: Pot Luck), and for $10 I can get a liquor license.

In regards to liquor, we can have a BYOB but you HAVE!!!! TO BRING the receipt for the beverage and I will be collecting these at the door. No receipt you will not be allowed to bring it into the hall (liquor control board rules)

Please let me know if this is acceptable a.s.a.p. so I can confirm the booking
We can have the room from 4:00 pm to 1:00 am

I will also volunteer to make a HUGE pot of chili, this will look after the main dish for everyone.

Then if others can bring salad, buns, drinks, chips, paper plates, cups, utensils, etc.

Kat maybe you could coordinate all the "stuff" as to who is bringing what.
I figure there will be between 25-30 people.

Bevvies (alcoholic and non) - this one can get a couple people assigned to it.

Desserty stuff
Chips and other Munchie Stuff
Anything Else you can think of

MSG ME - here's the new setup. In the subject line, put in you + however many (let's say Ian brings his wife...so he would msg me saying Ian +1 in the subject line, and whatever you want to bring in the body. If you don't know...I'll probably be assigning stuff a little bit later in the week, when I have an idea of whats going on.
